London Tech Week pivots to virtual
London Tech Week is a fringe style festival where official events are listed and promoted on the event website. It is one of the highlights in the annual calendar for the Department for International Trade (DIT). In 2020, as with so many other events this year, organisers of the lively face-to-face gathering looked for a virtual alternative and DIT once again looked to its long-standing partner – Bray Leino Events – for digital solutions.
Bray Leino Events has delivered the last two physical London Tech Weeks for DIT, but this year we established a flexible virtual platform to host thirteen events over the six-day period. All of the events were live streamed, most with a mix of dynamic content and pre-recorded programmes played as live. Around half of the sessions were invitation only, and our team supported the vetting process for these; the remainder were open to all-comers.
London Tech Week generates meetings in a variety of formats: keynotes, ministerial addresses, C-suite roundtables, panel discussions and Award ceremonies. Notable highlights included:

Speaker liaison and management was a key part of our role, especially as many presenters were VIPs. We supported C-suite speakers from Europe, Asia, Australia, and New Zealand – 98 individual speakers in all. We managed rehearsals for all live speakers, and provided comprehensive guidance on delivery and platform functionality; technical assistance was available to all speakers and moderators at all times. We also arranged pre-recording and post-production of most panel sessions – working with panellists to agree convenient diary dates and then providing a virtual producer to manage the recording, offer guidance, and keep speakers to time. Following those sessions, we edited the frames into a branded environment and added floating name text to introduce each speaker; the output – a polished, professional presentation.
Bray Leino Events also led on the delegate journey: website, registration, comms, tracking, troubleshooting, and post-event. The events attracted more than 1,000+ participating international delegates from 48 countries looking to invest in or start a business in London or the UK. They had access to the full range of virtual functionality: live Q&A, public and private chat functions, voting, raising hands and many small group breakout sessions. These were especially well-received, and frequently featured in verbatim comments in the Evaluation Report: “Thank you for a very enjoyable session. One of the slickest and most professional I’ve been involved in from the technical process to the facilitation.”
